Airport Police Section’s Mailbox

1.               PURPOSE

 

The purpose of this section command memorandum is to establish procedures for employees to utilize the airport section’s mailbox.

 

2.               Policy

 

The employees assigned to the Airport will utilize the section mailbox when delivering all mail.

 

3.               RESPONSIBILITIES

 

3.1              It is the responsibility of the Watch Commander to insure compliance with this section command memorandum.

 

3.2              It is the responsibility of the individual assigned to the front desk to place all messages into the proper mailbox slot.

 

3.3              It is the responsibility of the section commander’s secretary to place all mail into the proper mailbox slot.

 

3.4              It is the responsibility of the section commander’s secretary to check the outgoing mail slot for stamped mail and deliver it to a U. S. Mailbox.

 

3.5              It is the responsibility of each employee to check, daily, his or her mailbox slot for any messages or mail.

 

3.6              It is the responsibility of each employee, when returning from vacation or leave, to check with the section commander’s secretary for his or her mail.

 

3.7              It is the responsibility of the mail run officer, before making the mail run, to check the outgoing mail slot for interdepartmental mail and deliver it to the headquarters mail room. 

 

4.               ACTION

 

4.1              The mailbox slots located in the roll call room will be used for delivering written correspondence.

 

4.2              Mail for employees who have an office will be delivered to their respective office.  If the office is locked, the mail may be placed in the office mail slot or under the door.  These employees include the section commander, lieutenants, sergeants, investigators, and administrative personnel.  

 

4.3              The outgoing slot may be used for mailing stamped postage as well as interdepartmental mail.

 

4.4              Employees will only remove mail from the slot with their name on it.  Any employee, except the section commander’s secretary, caught removing mail from any other slot will be considered in direct violation of this directive.

 

4.5              The mailbox will not be utilized to deliver written directives to employees, i.e., command memos, Sop’s, roll call training, etc.

 

4.6              The section commander’s secretary will, on a daily basis, inspect the mailbox slots for any mail that has been left in the slots for more than three (3) days.

 

4.7              Any mail found to be three (3) days old or older would be stored by the section commander's secretary.
