Returning Telephone Calls and Correspondence

1.               PURPOSE

 

The intent of this directive is to establish a uniform procedure that ensures all communications, written or phoned to units in the Field Operations Division

 

2.               POLICY

 

A timely response to all correspondence will be provided by employees in the Field Operations Division.

 

3.               RESPONSIBILITIES

 

3.1              Section/zone commander will ensure that all telephone calls and correspondence are returned within the appropriate time frame.

 

4.               ACTION

 

4.1              The section/zone commander or designee will return telephone calls within twenty-four (24) hours.

 

4.1.1           All written correspondence will be acknowledged within three (3) working days.

 

4.2              All sections/zones will maintain a log in which all incoming telephone calls and written correspondence are entered.

 

4.2.1           Section/zone commander will review the log to ensure compliance.

 

4.2.2           The log will contain the following:
 

1.    Date of correspondence
 

2.    Time received
 

3.    Identification of correspondent
 

a.    Name
 

b.    Telephone Number
 

4.    Subject matter
 

5.    Action taken

 

4.2.3           The log will remain at the Work site in a binder for review.
