Sworn Office Assistant/Unit 199

1.               PURPOSE

 

To establish a procedure with regards to the duties and responsibilities of sworn personnel assigned to work Unit 199.   

 

2.               POLICY

 

To assign a sworn police officer to work the front reception desk in the lobby of the Zone One precinct to handle administrative tasks, queries via the telephone and from citizens who walk-in at the Zone One Precinct. 

 

3.               RESPONSIBILITIES

 

3.1              The Watch Commander or a designee will assign a sworn officer to work unit 199 daily. 

 

3.2              The sworn officer assigned to work Unit 199 will completed each assign task professionally, correctly, and in a timely manner.

 

4.               ACTION

 

4.1              The officer assigned to work Unit 199 will sit at the work station/reception desk located in the lobby of the Zone One Precinct.

 

4.2              When it is necessary for the officer to use the police radio, he or she will use the four-digit radio/call-number. For example, if the officer is assigned to work morning watch, he or she will use the radio/call-number 1199.                 

 

4.3              When answering the telephone, the officer assigned to work Unit 199 must clearly state his or her name and rank, and identify the Zone called.  Unit 199 must adhere to  written directive APD.SOP.2011 General Conduct.

 

4.4              Unit 199 will route all incoming calls for the Zone One Major to his/her secretary or civilian office assistant.  If the telephone call is for another employee who is not currently at the Zone One Precinct, Unit 199 will take a message and place it in the employee’s mailbox.

 

4.5              Unit 199 is responsible for making photocopies of all police related incident reports and disseminating them as follows:

                 

1.    Zone Major (All Part I Crimes)
 

2.    Crime Analysis (All Part I Crimes)
 

3.    F.I.T./Specialized Units (Part I Crimes)
 

4.    C.P.I. (Burglary Reports)
 

5.    Beat Books (All Crimes)

 

4.6              With the exception of the Zone Commander, all reports must be placed in the appropriate stack tray located on the table between the roll call room and the supervisor’s office.  Place all reports designated for the Zone Commander in the tray outside of the Administrative Office.

 

4.7              Unit 199 must update the beat books daily.   All reports placed in the beat book will remain there for a period of six months.  Once the report is removed it will be boxed.  The box will be labeled; its contents shall be stored for 6-months and then destroyed. 

                 

4.8              Unit 199 will make copies and post the daily activity sheet for his/her watch before his/her tour of duty ends.  A copy of the activity sheet must be forwarded to the Zone Commander and the Assistant Zone Commander.  In addition it must be faxed to FOD and the Communications Section.

 

4.9              Unit 199 will distribute in-coming mail to the appropriate offices before the end of his or her tour of duty. 

 

4.10            Unit 199 will empty the trash in the roll-call room, the front receptions area, and the supervisor’s office daily.  

 

4.11            Unit 199 will complete all tasks assigned by a supervisor professionally, correctly and in a timely manner.

5.1              Unit 199: A sworn police officer who is assigned to perform administrative tasks and to work the reception desk at the main precinct.
