1.               PURPOSE

 

The intent of this command memorandum is to establish procedures that ensure all communications, written or phoned to the Information Services Section are returned in an efficient and timely manner.

 

2.                               POLICY

 

The Information Services Section employees will return all written correspondence and telephone calls in an efficient and timely manner, and make every effort to assist the public and other Department employees in a courteous and professional manner so as to promote a positive image.

 

3.               RESPONSIBILITIES

 

3.1                           The Information Services Section employees are responsible for the prompt, courteous and efficient return of written or telephonic communication.

 

3.2                           All employees will promote good public relations and project a positive image of the Atlanta Police Department in their response to correspondence.

 

3.3                           All phone calls will be returned by the ISS person called or his or her designee as soon as possible, and no later than within 24 hours.

 

3.4                           All written correspondence will be answered by letter or by personal contact with the sender of the correspondence, within three (3) working days of receipt of the written correspondence.

 

4.               ACTION

 

4.1              All ISS personnel will maintain a record of all telephone call and written correspondence received.

 

4.2                           ISS employees will maintain these records for review by supervision at the worksite.

 

4.3                           All correspondence and telephone call records will be maintained for 12 months.
