1.               PURPOSE

 

Establish protocols for the securing of 911 play back recordings.

 

2.               POLICY

 

The Atlanta Police Communications Section will provide a secure location and protocols for the 911 play back recordings.

 

3.               RESPONSIBILITIES

 

3.1              The Communications employee assigned to the Tape Room will properly package, label, receive and store, all 911 play back recording data and medium to ensure security.

 

3.2              The Communications Supervisors will monitor the Tape Room and the Communications employee assigned to the Tape Room to ensure the security of the 911 play back recording data and medium.

 

4.               ACTION

 

4.1              The Communications employee assigned to the Tape Room will have access to the secure handling and storage for the play back recordings, and will keep access to the room secure and locked at all times.  (CALEA 5th ed. standard 81.2.8 b)

 

4.2              The Communications employee assigned to the Tape Room will check and replace the recording medium for the recording system as needed.

 

4.3              The Communications employee assigned to the Tape Room will retain all recordings for approximately 120 days before being destroyed or copied over.

4.4              Recorded 911 data can be reviewed by supervisors by filling out a tape request form and submitting such to the Communications Director for approval.

4.5              Citizens can request 911 recorded data, for up to 180 days after the incident, that pertains to them or their incident, by submitting a tape request form to the Public Affairs Office.

4.6              Courts, District Attorney’s and attorneys may subpoena recorded 911 data from the Communications Section by submitting the subpoena to the Public Affairs Office.

4.7              The Administrative Communications Supervisor will review the request for the 911 tape log to ensure the requests are being handled in a timely manner.  (CALEA 5th ed. standard 81.2.8 c)
