The purpose of this section command memorandum is to establish procedures for formalization of documentation to support ratings on annual evaluations.
2. POLICY
It is the policy of the Atlanta Police Department Airport Section that supervisors maintain documentation of subordinate’s activities to support ratings on annual evaluations.
3. RESPONSIBILITIES
3.1 It is the responsibility of the watch commander to ensure compliance with this section command memorandum.
3.2 It is the responsibility of each supervisor to document the performance of subordinates.
3.2.1 It is the responsibility of each supervisor to maintain a filing system for completed "Supervisor's Daily Observation Sheets."
3.2.2 It is the responsibility of each supervisor to have these files available for inspection by the Assistant Section Commander.
3.3 It is the responsibility of the Assistant Section Commander to conduct inspections as needed of supervisor's files of the "Supervisor Daily Observation Sheets," to ensure these forms are being completed and filed.
4. ACTION
4.1 The “Supervisors Daily Observation Sheet” is to be used by supervisors to document performance of subordinates.
4.2 Supervisors are not required to complete the “Supervisors Daily Observation Sheet” on each employee every day. These forms will be completed only as a documented reminder for supervisors to support any annual evaluation rating which is above or below the satisfactory level.
4.3 Additional documentation may be attached to the “Supervisors Daily Observation Sheet” and filed by the employee's supervisor.
4.4 Employees will not be rated above or below satisfactory without documentation to support such ratings.
5. DEFINITIONS
5.1 Supervisor's Daily Observation Sheet: A form drafted by the airport police Administrative Section to document positive performance observed as well as suggested area(s) of improvement. This form is to be used only as a reminder for supervisors when completing annual evaluations and not as a replacement of other documentation for awards as well as discipline.
